Basic Lesson 3: Adding Folders and Documents

In this lesson, I’ll show you how to add folders and documents to Workspace.

You can add a variety of items to Workspace: folders, documents, calendars, wikis, and much more.

To add a folder, navigate to where you would like to place the folder. 

In the Add section of the command bar, click Folder.  Complete the name and description fields.  Remember that clear names and descriptions help other users locate important information.  You can create an email address for the folder.  If you choose not to create an email address, Workspace will assign a unique number to your folder.  I’ll explain why a folder has an email address in just a few moments.

When all the fields are completed, click OK.

You are now inside of the folder you just added.  Now I’ll show you how to add a document to this folder. 

There are three ways to add a document to Workspace:
Email
Direct upload

You can email documents into Workspace folders.  Each folder has a unique email address.  If a specific name has not been created, Workspace assigns a unique number to each folder.  If you receive an email attachment from someone who is not a workspace user, it is easy to forward that email – with the attachment – into the appropriate workspace folder – you don’t have to download the attachment and then upload it into workspace.  Non-workspace users can also email attachments directly into workspace folders – one does not need to be a workspace user to email items into workspace folders.

The easiest way to add documents to workspace is with direct upload.  To add a document, navigate to the folder where you’d like to place the document.  In the Add section of the command bar, click Document.  Click Browse to select a file.  Click Open.  Complete the name and description fields.  Clear names and descriptions are helpful for other users.  When you’re finished, click OK.  You’ll be prompted to enable or disable versioning.  For now, click OK.  To learn more about versioning, make sure to view the separate tutorial for using version control.

Now you know how to add folders and add documents.  At this time, you can return to workspace or view another video tutorial.
